Requirement
A company in the automotive sector, a leader in the sale of agricultural equipment and machinery both in the Italian and international markets, needed to optimize its sales process.
Specifically, the requirement focused on simplifying signature operations, contract management, and vehicle delivery to the customer, all through integration with the ERP system.
In addition, at the end of the digitalization of the sales cycle, it was essential to manage after-sales support and the online resale of trade-in vehicles.
Implementation
The solution was achieved through fully automated workflows. These include integration between the company ERP, ARXivar, ARXivar AI, Electronic Signature, and DDT Solution to intelligently manage the sales and after-sales process. The solution enables electronic management of sales contracts, with the capture of a Simple Electronic Signature (SES), reducing signing times while ensuring security and regulatory compliance.
The management of delivery notes (DDT) is fully digital. Goods are accepted in the warehouse via the DDT Solution, with automatic document scanning using the AI Analyze module and subsequent archiving through ARXivar Invoice, eliminating manual activities and reducing the risk of errors. The integration between systems ensures continuous coordination between sales, administration, and logistics, supporting the process from order closure to vehicle delivery to the customer and final signature, guaranteeing full traceability and control.
The process also includes the digital management of trade-ins, activated only when purchasing a new tractor. During the sales process, the ERP automatically opens a dedicated task that triggers a workflow in the ARXivar Document & Workflow Platform. The salesperson enters the data of the used vehicle, which is extracted and transmitted via web service to the company’s e-commerce platform, enabling the rapid publication and online resale of the traded-in tractor.
To complete the cycle, the solution supports warranty extension management, activated after vehicle delivery and digitally signed by the customer via a web app, ensuring a smooth and fully paperless user experience.
Results
Thanks to the integration of the technologies used, the company achieved a reduction of up to 60% in process times. The entire sales, delivery, and after-sales cycle is now faster and smoother, with a direct impact on operational speed. The elimination of manual activities made it possible to reduce operational costs by up to 35%. Thanks to structured workflows and automated controls, there has been a significant reduction in human errors, with improved data reliability and overall process quality.
In addition, the company benefited from more efficient customer relationship systems thanks to centralized control of information flows.
Finally, the valorization of used vehicles was enhanced through automatic integration with the company’s e-commerce platform. This enables faster, more structured, and more consistent publication of trade-in vehicles, increasing online visibility and resale opportunities.
