Requirement
For one of our clients, managing email and certified email (PEC) outside the company’s document processes had become increasingly complex.
Communications were distributed across different tools, making it difficult to ensure traceability, operational control, and workflow continuity.
The lack of integration led to repetitive manual activities, risk of information loss, difficulties in filing communications, and less efficient management of regulatory obligations related to PEC.
In addition, the absence of a centralized environment limited the possibility of having a single access point for data, documents, and communications, reducing operational efficiency and monitoring capabilities.
The need was therefore to fully integrate email and PEC within the ARXivar Document & Workflow Platform, maintaining a single operational interface, automating management processes, and ensuring compliance, control, and full integration with business workflows.
Implementation
To address this need, the ARXWebMail plugin was developed. The solution has evolved over time into a consolidated tool, now widely adopted by end customers and resellers to fully integrate electronic communication management within the platform.
ARXWebMail currently allows users to:
- send and manage emails and PEC directly from the ARXivar Document & Workflow Platform;
- automatically reconcile PEC receipts;
- file messages within document workflows;
- archive communications in compliance with regulations;
- manage interoperability for regulated exchanges with the Public Administration;
- integrate advanced management and automation features.
All functionalities operate natively within ARXivar, maintaining consistency with data, processes, and business workflows.
Results
The integration of ARXWebMail made it possible to centralize email and PEC management directly in the ARXivar Document & Workflow Platform, maintaining a single operational interface and the same mechanisms for sending, receiving, and document handling.
Communications are fully integrated into business processes, with continuous traceability of operations and full control over information.
The solution also simplified daily operational activities, reduced manual steps, and improved the management of communications subject to regulatory requirements.
