Implementation

The workflows implemented with ARXivar are designed to support the company throughout the entire lifecycle of non-conformity management, from initial detection to verification of the effectiveness of corrective actions, ensuring order, speed, and a clear distribution of responsibilities.

In the customer’s context, non-conformities arise from two main areas: consumer complaints and internal anomalies detected in departments or during scheduled inspections. The digitalization of the non-conformity management process transforms each complaint into a structured ticket, enriched with attachments and automatically shared with all involved stakeholders, reducing information loss and enabling periodic trend analysis.

Regarding internal non-conformities, the customer company was still managing paper forms, scattered emails, heterogeneous archives, and Excel spreadsheets that were difficult to keep updated. With ARXivar, it is possible to open a report directly from the department or office where the issue is detected, classify it according to predefined criteria, and immediately involve the relevant functions: from management to maintenance, and when necessary, administration.

Each phase is precisely documented, including technical reports, photographic evidence, intervention logs, and laboratory analyses. Even effectiveness verification—a step often neglected in analogue models—is recorded and linked to the original non-conformity, enabling stricter control of continuous improvement.

Inspection activities, both monthly and periodic, also play a key role. Checklists, reports, and any anomalies detected during plant or departmental inspections are digitized, transformed into structured tickets, and integrated into the overall non-conformity workflow. In this way, management and other departments can easily access all documentation, monitor the status of corrective actions, and maintain a complete historical record. This latter aspect proves useful for statistical analysis and future intervention planning.
