Requirement
The client company is a leader of Made in Italy in the textile sector and manages a complex document environment: it handles large volumes of heterogeneous documents coming from different sources every day.
As part of a corporate project aimed at digitizing its systems, the client decided to optimize a series of document management workflows.
The main departments involved were Administration, Purchasing, Export, Logistics, and Quality Control.
A key requirement was the automation and control of document flows, which often involve international markets, with a particular focus on functionalities enabled by Artificial Intelligence.
Implementation
Artificial Intelligence models were developed and trained on documents specific to the client’s business domain, in order to recognize key fields within unstructured files.
The AI model integrated into ARXivar is automatically activated whenever new image-based PDF documents are acquired. The workflow then verifies data reliability through a confidence index and involves the user only in critical cases, ensuring faster and smoother processing.
In addition, the system’s self-learning capability ensures continuous optimization of document handling over time.
The implemented solution is scalable and adaptable to new document types, supporting the entire lifecycle of future document management processes.

Among the main benefits observed by the client, the implementation of AI drastically reduced reading and interpretation errors thanks to models tailored to the company’s document formats.
Automated document profiling limits human intervention to low-confidence cases, simplifying repetitive tasks and enabling highly efficient automated workflows. As a result, the process is extremely fast and allows smooth management with significant operational time savings.
The implemented system goes beyond the limitations of traditional OCR, improving data quality and scalability without increasing staff workload and minimizing errors.
