Requirement
The client needed to simplify the monitoring and recording of incoming bank transfer payments.
Manual handling of bank files was time-consuming and increased the risk of errors and delayed communication. The company required a solution capable of reading bank data, identifying relevant payments, matching them to the corresponding invoices, and automatically notifying the appropriate departments once payment had been received.
Implementation
The implemented solution enables automated classification of incoming bank transfers and streamlined communication of received payments across the organization.
CBI-format bank files are uploaded to a shared folder and processed by a dedicated application.
The system filters payments related to a specific bank and transaction type, normalizing the data according to ERP rules.
Payment information is then reconciled with the relevant documents and written into files used by the accounting system.
Once confirmed, document profiles are created in ARXivar, triggering a workflow that automatically sends notifications.
Emails include details about the payer and the settled invoice and are automatically routed to the relevant teams or individuals within the organization.
Results
With this solution in place, each store receives only the payment confirmations related to its own invoices, including customer references, settled document details, and job/order numbers.
This approach reduces manual workload, speeds up accounting processes, and improves overall control of the collections cycle.
