Simple Electronic Signature

Simple Electronic Signature (SES) is a digital signing method recognized under the EU eIDAS Regulation. It does not require qualified certificates or complex cryptographic devices.
Within the eIDAS framework, it represents the most basic level of electronic signature (compared to advanced and qualified signatures) and can be used to express consent, although with a lower level of security and identity assurance.

  • SES is commonly used for low-risk contracts, online acceptances, and internal processes.
  • It provides a basic level of security and traceability by linking the signed data to the signer.
  • This type of signature is ideal when simplicity, speed, and cost efficiency are key priorities for modern public and private organizations.

Advanced Electronic Signature

For a stronger and more reliable signer identity verification, ideal for use cases requiring the highest level of security, ARXivar Sign integrates ARXivar Onboarding directly into the advanced electronic signature workflow.

To be legally valid, an Advanced Electronic Signature (AES) must meet three essential requirements:

  • Verified signer identity: ARXivar Onboarding ensures that only the legitimate signer can apply the signature, using identity verification through CIE, SPID, or AI-based checks.
  • Document integrity: ARXivar Sign guarantees that the signed document cannot be altered in any way after the signature is applied.
  • Signature uniqueness: ARXivar Sign ensures that each signature is unique and cannot be duplicated or reused.

Qualified Electronic Signature

Qualified Electronic Signature (QES) represents the highest level of electronic signature defined by the eIDAS Regulation. It is based on a qualified certificate issued by a Qualified Trust Service Provider (QTSP) and uses a secure signature creation device.

  • ARXivar Sign offers a one-shot QES service, where the qualified certificate is issued temporarily by a QTSP and used for a single signing transaction, following a strong identity verification process (via video identification).
  • QES ensures verified signer identity, document integrity, and non-repudiation.
    It has the same legal validity as a handwritten signature and is legally recognized across all EU Member States.
  • This type of signature is typically used for contracts, deeds, and documents that require the highest level of legal certainty.

Graphometric (Biometric) Signature

Graphometric Signature is a specific type of Advanced Electronic Signature (AES) obtained by capturing the signer’s biometric data at the moment of signing on dedicated digital devices, such as tablets, signature pads, or smartphones, and permanently binding that data to the signed electronic document.

This process ensures a strong link between the signer and the document, making the signature legally robust and verifiable.

How ARXivar Sign works

1. START OF PROCESS

The user receives the link protected with strong authentication* via email and starts the electronic signature process.

In the case of the Advanced Electronic Signature process, the signer is identified with Artificial Intelligence.

2. SIGNATURE

The user views the documents and the workflow guides him in selecting the signature fields and entering all the required data.

Upon confirmation of the signature summary, the telephone number connected to the user’s session is verified via OTP code (SMS or E-mail) and the signature is added to the documents.

3. ELECTRONIC STORAGE

At the end of the process, the subjects involved in the process receive an E-mail notification to download the signed documents.

The evidence of the electronic signature and identification process (Audit Trail Document, videos, images, Logs and mathematical results) are stored in accordance with the ARXivar eArchiving system.*
