Requirement

A company operating in the earthmoving machinery sector needed to digitize the management of scheduled maintenance for its machine fleet.

The objective was to have a solution capable of planning maintenance activities and storing the related documentation in a structured way, allowing technicians to complete forms directly in the field and end customers to independently consult the history and information related to the machine via QR code.

It was necessary to introduce a digital process able to reduce the use of paper documentation, improve the quality of collected data, and ensure full traceability of performed interventions.

Implementation

The implementation involved configuring a digital process in the ARXivar Document & Workflow Platform for the complete management of scheduled maintenance of machinery. The solution was realized through the creation of a scheduled maintenance form, which can be used directly by the mechanic via smartphone, tablet, or PC.

As the first piece of information within the form, the mechanic is presented with the selection of the service/maintenance to be performed, based on the machine’s operating hours.

The solution was realized through the creation of a scheduled maintenance form, which can be used directly by the mechanic via smartphone, tablet, or PC.

As the first piece of information within the form, the mechanic selects the maintenance service to be performed, based on the machine’s operating hours.

Next, all identifying data of the machine are entered. Depending on the type of machine selected, the system makes only the relevant fields and sections available, guiding the operator through the data entry process and avoiding unnecessary information input. Some fields were set as mandatory to ensure the completeness of the collected data and proper traceability of the intervention.

The data related to the operator performing the maintenance are automatically populated with the active ARXivar user, further reducing manual activities.

The form was structured into sections that can be activated via ON fields. By selecting different options, dedicated and topic-specific screens open, where the mechanic can enter information related to the checks performed. In the predefined combo boxes, the operator can select V for a satisfactory evaluation, X for an unsatisfactory evaluation, and (X) in cases where corrective actions have been carried out.

If an unsatisfactory evaluation or a corrective action is selected, the system automatically displays a notes field below the corresponding item, allowing the mechanic to specify the reason for the issue or the corrective intervention performed.

At the bottom of the form, a dedicated grid was included to record issues encountered during the intervention. This section allows anomalies, breakdowns, and their respective solutions to be documented in an organized way.

At the end of the intervention, once the form has been completed, ARXivar automatically generates a summary PDF file containing all the entered information. The document is archived and associated with the relevant machine, creating a historical record that can be consulted over time.

The mechanic was also given the possibility to save the form in progress and complete it in the following days. In this case, an editable Word file is generated, allowing the user to resume and update the compilation before the final closure of the intervention.

To facilitate document consultation and management, dedicated views were created for both completed maintenance activities and those still in progress. In this way, it is possible to clearly distinguish between finalized records generated in PDF format and still-editable Word forms, enabling operators to quickly identify the progress status of each maintenance activity.

Input and editing views were implemented using ARXivar Document & Workflow Platform plugin technology. All interfaces were optimized to automatically adapt to the device in use, ensuring proper usability across smartphones, tablets, and PCs.

The solution therefore integrates into a single digital process:

  • guided form completion by the mechanic;
  • dynamic fields based on machine type;
  • mandatory checks to ensure data completeness;
  • structured management of anomalies and corrective actions;
  • saving of work-in-progress forms;
  • automatic generation of PDF documents;
  • archiving of maintenance history;
  • access to information via QR code;
  • interfaces optimized for field operations.

Results

The result is a complete solution for the digital management of scheduled maintenance for the machine fleet.

The mechanic, directly from smartphone or tablet, can access the maintenance form of a specific machine and enter in real time all information related to the performed intervention. Within the form, activities carried out, any issues found, technical notes, checks performed, and useful information for the machine history are recorded.

The summary PDF of the intervention, automatically generated by ARXivar, is archived and made available for future consultation, ensuring structured and complete traceability of maintenance activities.

The machine owner customer also benefits from the solution: by scanning the QR code on the machine, they can access a dedicated portal where they can independently consult all information related to their machine. The portal provides the history of performed interventions, detected issues, warranties, and main technical information about the machine.

The digitalization of the process has therefore enabled:

  • simplification of mechanics’ operational work;
  • reduction of paper documentation;
  • improvement in the quality and completeness of collected data;
  • greater traceability of interventions;
  • faster consultation of maintenance history;
  • immediate and transparent access for the end customer to machine information;
  • a more controlled, standardized, and easily monitorable process.
