Requirement
The client, an organization that provides services to workers and businesses, managed contact and relationships with its users through traditional channels and tools, such as an online contact form and PDF forms that had to be downloaded, filled in, and sent via email.
This operating model did not provide a consultable history of submitted cases, making it necessary to manually enter personal data for each new request. The evaluation and approval process for applications was also handled manually, without the support of a structured and traceable workflow.
Therefore, there was a need to introduce a digital solution capable of centrally managing memberships, requests, and cases submitted by companies and users, simplifying operational activities and improving the overall service experience.
Implementation
The solution was developed by integrating the ARXivar Document & Workflow Platform into a WordPress website. Through this platform, a reserved area was created that allows registered companies and users to access services and submit their applications entirely digitally.
Registration and Onboarding
The project involved the digitalization of the entire registration and onboarding process. From the public website, users can submit a registration request, which is automatically captured by the system and inserted into a dedicated workflow. The organization can manage the request directly within the platform, choosing whether to approve, reject, or request additional information. In case of a positive outcome, the system automatically generates login credentials and sends a notification to the user.
Reserved Area and Case Management
Once activation is completed, access to the reserved area allows users to submit new requests through forms pre-filled with existing system data. It is also possible to consult the full history of cases, check their real-time status, download generated documents, and update personal information when necessary.
Approval Workflow
Each submitted request is recorded as a structured document and triggers a dedicated approval workflow. All process stages are tracked and stored historically. In this way, the platform becomes the central reference point for managing user data and cases, ensuring consistency, control, and operational continuity.
Results
The introduction of the solution delivered concrete and measurable benefits, both for the organization and for end users. All requests are now managed through digital channels integrated with the ARXivar Document & Workflow Platform, ensuring traceability and continuity throughout the entire process lifecycle.
From an organizational perspective, the entity has moved beyond manual management of registrations and cases, adopting guided workflows that improve operational efficiency and reduce processing times. Information is centralized and always accessible, significantly increasing process quality and control.
The new access model has also improved the user experience, allowing users to operate independently through their reserved area. Requests are pre-filled with available system data, and case status is always visible without the need for direct contact with the organization.
Overall, the project introduced a more structured, transparent, and digital management model, improving service usability, simplifying internal operations, and providing a complete, historically tracked view of all managed cases.
